1. Who We Are (Data Controller)

RaceArchitect is operated as a service for running coaches and athletes. The data controller responsible for the processing of your personal data is the RaceArchitect operator reachable at racearchitect.com. For all privacy-related inquiries please contact us at privacy@racearchitect.com.

2. What Data We Collect

We collect the following categories of personal data:

  • Account data: username, email address, first and last name, date of birth, gender, profile picture.
  • Performance data: race results, VDOT scores, lactate test results, training logs.
  • Communication data: messages exchanged between athletes and coaches inside the platform.
  • Usage data: login timestamps, browser language preference.

3. Legal Basis for Processing

We process your data on the following legal bases (Art. 6 GDPR):

  • Contract performance (Art. 6(1)(b)): to provide you access to your training plans, race goals and coaching communication.
  • Consent (Art. 6(1)(a)): for optional features such as AI-assisted chat analysis.
  • Legitimate interest (Art. 6(1)(f)): to improve and secure the service.

4. How We Use Your Data

  • Providing and personalising your training plans and performance analysis.
  • Enabling communication between athlete and coach.
  • Generating pace recommendations and race predictions based on VDOT methodology.
  • Securing your account and preventing unauthorised access.

5. Data Sharing

We do not sell your personal data. Your data may be shared with:

  • Your coach (trainer): coaches assigned to your account can view your performance data, training logs and messages.
  • Google (Gemini API): message content may be processed by Google's Gemini API to generate AI responses in the coaching chat. No personal identifiers are transmitted.
  • Hosting provider (Hetzner): your data is stored on servers located in the European Union.

6. Data Retention

We retain your personal data for as long as your account is active. When you delete your account, your personal data will be permanently removed within 30 days, except where retention is required by law.

7. Your Rights Under GDPR

You have the following rights regarding your personal data:

  • Right of access (Art. 15): request a copy of all personal data we hold about you.
  • Right to rectification (Art. 16): correct inaccurate or incomplete data via your account settings.
  • Right to erasure (Art. 17): request deletion of your account and associated data.
  • Right to data portability (Art. 20): request your data in a structured, machine-readable format.
  • Right to object (Art. 21): object to processing based on legitimate interest.
  • Right to restriction (Art. 18): request that we restrict processing of your data.

8. Cookies

We use a session cookie (csrftoken) for security purposes and a language preference cookie. No third-party tracking cookies are set.

9. Changes to This Policy

We may update this Privacy Statement. The date at the top of this page reflects the most recent revision. Continued use of the service after changes constitutes acceptance of the updated policy.
